Appointment Policies

Our Appointment Policies help you navigate the ins and outs of your test. Please read these policies to learn how we treat rescheduling, late arrivals, and other important matters.
Rescheduling
In general, appointments may be rescheduled in your Polygon dashboard.
Rescheduling Test Sessions:
Any Test Session may be rescheduled up until 48 hours before it is scheduled to begin.
To reschedule a Test Session fewer than 48 hours before it is scheduled to begin, please contact support@hellopolygon.com. Your Payment Method will be charged a fee of $195 for each Test Session that is rescheduled or canceled fewer than 48 hours before it is scheduled to begin.
Rescheduling Follow-up Appointments:
Any Follow-up Appointment (including feedback appointments) may be rescheduled up until 24 hours before it is scheduled to begin.
To reschedule a Follow-up Appointment fewer than 24 hours before it is scheduled to begin, please contact support@hellopolygon.com. Your Payment Method will be charged a fee of $195 for each Follow-up Appointment that is rescheduled or canceled fewer than 24 hours before it is scheduled to begin.
Late Arrivals and Missed Appointments
If you arrive more than 30 minutes late for any Test Session, or if you miss the appointment altogether, you will be required to reschedule the appointment subject to our rescheduling policy above.
Timely Completion of Activities
As part of the test, you and, in some cases, third parties (such as teachers, family members, and other respondents) may be required to complete activities including, but not limited to, submitting documents, completing forms, answering questionnaires, and returning test materials. Required activities are listed in the Test Timeline section of your Polygon dashboard.
These activities are an important part of a test. Your Polygon Provider may not be able to plan your test or write your report or have sufficient information to allow for appropriate diagnostic decision-making without their completion.
As such, we require that you complete all activities by the due dates designated in your dashboard. If you do not complete all activities by these dates, you may be required to reschedule one or more of your Test Sessions subject to the rescheduling policy above.
Furthermore, in the case that any required activity is not completed within seven (7) days of your final Test Session, your Polygon Report will not include or be based on any information furnished through any such activity.
Cancellations
Requests to cancel a test must be made in writing and sent to support@hellopolygon.com. In the case that you cancel a test, all associated Test Sessions (including any that have already taken place) will be considered canceled under our rescheduling policy above.
Refunds
Provided you comply with the rescheduling and cancellation policies above, Polygon may (but is not required to) issue refunds on a case-by-case basis as determined in Polygon’s sole discretion.
